Position

To support our daily operations, we are looking for an Office & Operations Assistant to join our team and contribute to the efficient organization of office activities.

The role focuses on front-office management, travel and logistics coordination, and administrative support, helping ensure the smooth operation of the company's daily activities while providing assistance to employees, visitors, and management.

We are looking for an organized, proactive, and service-oriented person who enjoys working with people and contributing to a dynamic and international environment.

Main Activities

• Welcome visitors and support front-office activities.
• Manage office communications, phone calls, and general correspondence.
• Organize business travel, accommodation, and transportation for employees and guests.
• Support logistics and operational activities related to the company's offices.
• Coordinate meeting rooms, appointments, and internal events.
• Provide administrative and organizational support to management and internal teams.
• Collaborate with external suppliers and service providers.
• Support the preparation of internal documentation and operational processes.

Requirements

• Degree or diploma in Languages, Business Administration, Communication, or related fields.
• Previous experience or strong interest in office administration, front office, or executive support activities.
• Excellent knowledge of English (written and spoken).
• Good organizational and multitasking skills.
• Strong interpersonal and communication skills.
• Proactive attitude, attention to detail, and service-oriented mindset.
• Good knowledge of the Microsoft Office Suite.

Nice to Have

• Knowledge of French or another European language.
• Experience in travel management and business trip organization.
• Experience working in international or multicultural environments.
• Familiarity with office management and facility coordination activities.
• Experience supporting managers or executive teams.

Other information

Schedule: Full- time, 40 hours per week.

Location: Reggio Emilia, on-site
